Capacity numbers on venue websites are optimistic. Here is the arithmetic.
Published capacity is usually the fire-code standing number. What you need is seated dining with a dance floor, which is a different and much smaller figure.
The arithmetic
- Seated dining, round tables: 12 to 15 square feet per guest.
- Long farm tables: slightly tighter, 10 to 12 square feet per guest, which is one reason they are everywhere.
- Dance floor: 4.5 square feet per guest, assuming about half the room dances at once.
- Then add the bar, the band or DJ, the cake table, and a service lane for catering.
A 40 by 80 foot barn is 3,200 square feet. That is a comfortable 160 to 180 seated with a dance floor, not the 250 on the website.
The parts people forget
Bathrooms scale with guest count and most rustic venues are short. A rough guide is one unit per 35 guests for a four hour event. Parking is the other one: 2.3 guests per car is a safe planning number, and a field that holds 60 cars in July does not hold 60 cars after two days of rain.
